1 Job Description of Administration Officer

1.1 Procurement of Local Consultants, Goods and Equipment and other Services

1.1.1 Handle a procurement procedure with well understanding of the Procurement rule of JICA India Office.

1.1.2 Manage procurement schedule and progress of the office under supervision by and in cooperation with Japanese and Indian staff members of Procurement team of the office,

1.1.3 Communicate with both Operation team and Administration team to proceed procurement procedure as planned.

1.1.4 Monitor the progress and result of the procurement by checking reports and other required documents and follow up the procedure till the end (payment to the contractor).

1.1.5 Propose ideas and points to be improved for more efficient procurement procedure.

1.2 Management of office working environment

1.2.1 Handle procurement related to office property and improvement of office environment together with Japanese and Indian staffs of the Administration team of the office.

1.2.2 Monitor the office working environment, make plans to maintain and improve the same and conduct necessary procedures for procuring necessary items or services

1.2.3 Communicate with relevant officers of the HT House Building regarding operation of the Office and management of the office property.

1.2.4 Check situation and immediately take actions when any problem occurs to the office properties.

1.3 General administrative matters

1.3.1 Handling wide range of works related to administrative matters under supervision

by and in cooperation with Japanese and Indian staff members of the Administration team of the Office

1.3.2 Coordinate with the clerks, office assistants and other supporting staffs of the Office for managing various administrative matters including ad-hoc type of requirements

1.4 Other administrative works which Chief Representative deems necessary

2 Requirements

2.1 Candidates interested in applying for Administration Officers at JICA India are required to have the followings:

2.1.1 Strong command and fluency of English and Hindi in reading, writing, and speaking. Strong command of English shall include the capacity to prepare logical and structurally persuasive documents in official and formal communications and records.

2.1.2 Some Japanese language skill is preferable.

2.1.3 Minimum academic background of university graduation.

2.1.4 Minimum 3 year professional working experience in a similar field.

2.1.5 Medium command skills of MS Word, MS Excel, MS Power Point, and MS Windows.

2.1.6 Warm heart respectful of colleagues and counterparts, and strong willingness to take initiative to contribute to teamwork.

2.1.7 Implement/ complete tasks by oneself from the beginning till the end with planned time schedule

2.1.8 Being able to challenge new tasks with proactive manner together with well understanding of the rules and manuals determined by JICA Head Office.

2.2 Candidates that have any of the following shall declare such a fact upon application, whereas JICA reserves its rights to take into account such facts during the selection process:

2.2.1 Criminal records;

2.2.2 Any involvement in past/current court cases;

2.2.3 Prohibition to travel; or,

2.2.4 Any other facts that may affect the undertaking of job as described above.

(Note: False declaration will be considered as fraud, and may lead to post contract annulment.)

 

3 Contract Period

3.1 If a candidate is selected to join JICA India as Administration Officer, there will be a minimum 3 month probation period, and employment contracts will be subject to annual revision till the 3rd year. After 3 years from the initial date of hiring including the probation period, if both parties agree, the contract will be renewed to indefinite-term employment.

4 Working Place

JICA India Office

(Note: Administration Officer is not staff employed by JICA HQ.)

5 Working Hours

5.1 Basic working hour requirements are from Monday to Friday from 9:00AM to 5:00PM, whereas flexible working hours are also applicable, that attendance may be made between 8:30 to 10:00AM. Office holidays are based on JICA India Calendar.

6 Monthly Salary

The indicative monthly salary will be INR 49,916 or more + conveyance allowance

(The salary will be decided by taking into consideration of academic background and work experience.)

7 Submission of Application Documents

7.1.1 Full Curriculum Vitae with Photo (Color; Passport size or similar), and including Academic and Professional/Working experience, civil status, and any other information as deemed important by the applicant;

9 Note to applicants
