Job Title: Senior
Manager, Administrative Operations

Job summary:
The Senior Manager, Administrative Operations
will be responsible for managing administrative function along with large
volume of procurement in multiple states. The admin operations will include
overseeing the complete administrative function, renting, maintenance of office
premises, assets management across ChildFund India’s operations in the country.
S/he will also be responsible for managing a large team of administrative
staff, ensuring adherence to best practices and the laid down policies and
procedures of the organization.
KEY RESPONSIBILITIES:
·
Be responsible for overall quality
administrative services and support in ChildFund India’s operations.
·
Managing and delivering large volume
of procurements in multiple locations, ensuring timeliness and adherence to the
policies and procedures.
·
Ensure timely procurement,
maintenance, management and recording of organisational assets and inventory,
including awarding of annual maintenance contracts (AMC).
· Be responsible for regular compliance and updation of administrative and procurement
policies and procedures of the organization, drawing on the best practices from the sector.·
Responsible for identifying and
setting up new offices, preparing, finalizing, renewal of rental agreements as
per the guidelines of the organization.
·
Ensure high level of safety and
security across ChildFund India operations, including safe working
spaces/premises, installation and check of fire safety equipment and deployment
of security services.
·
Be responsible for sourcing and
engaging vendors/agencies for administrative services as per requirement.
·
Ensure timely recording and
reporting of admin and procurement operations.
·
Supervise and capacitate
Administration team to ensure quality work is delivered across the
operations.
·
Any other responsibilities assigned
by the Line Manager
QUALIFICATIONS/
EXPERIENCE/ SKILLS/ COMPETENCIES
·
Post– graduate in
management/commerce/social sciences or other relevant streams
·
Atleast 7-10 years of relevant
experience, preferably in a large, multi- location, non-profit organization.
·
Strong knowledge and understanding
of the policies, procedures and best practices related to administrative and
procurement functions in a non-profit organisation
·
Sound understanding of compliances
related to administrative functions as per law of the land
·
Excellent negotiation skills
·
Demonstrated success in the
management and development of multi-location, multidisciplinary teams.
·
Strong communication skills (both
verbal and written) in English & Hindi, other local languages will be an
advantage.
·
Adept in using computer,
particularly in using Microsoft Office suite applications.
·
Organized, team player, self-starter
and results-oriented individual.
·
Gender sensitive with strong
conviction and skills for the empowerment of excluded and disadvantaged
children.
