Job Purpose:

Project
Assistant will
support Assistant Manager to bring an efficiency in the provision of scholarship to employee’s
children in working sites of TESCO Sourcing Pvt. Ltd. This project is having
multiple phases and Save the Children will work in multiple phases: the
inception phase will comprise of assess the situation and design the
scholarship programme, the subsequent phases will comprise of implementation
and tracking & phasing out from the programme.
Overall responsible for data
management on students and scholarship distribution. Maintaining college data
base, fee structures, time to time alert for the payments and data analyst
for the project.
Project
Assistant will monitor and coordinate with colleges, students and other key
stakeholders at the field to support to most marginalized families
from the supply chain will provide quality education to the children of
people working in TESCO’s supply chain. This will help in mainstreaming their
academic cycle to gain potential employment and enhance their quality of
life.
Responsible
for Field Operations to implement the project and its activities as per the
project design. Facilitating activities, building networks and strong
relationship with field functionaries, College Management, students and other
project stakeholder. Overall responsible for taking up all field level
activities from planning to implementation with quality.

Project Assistant is the focal for the field
operations at project geography for successful implementation of the
project. The Project Assistant is responsible for conducting meetings
with different stakeholders, building rapport with key stakeholders, college
management, Government Officials based on the needs of the project. Project
Assistant will be focal person for undertake all project activities in
collaboration with relevant stakeholders at grass roots at respective
villages.
Project Assistant will create a healthy and
supportive environment in which all activities can be delivered by supporting
and coordinating with local communities and appropriate stakeholders to meet
the project objectives with quality with timely deliverables.
- Support the Assistant Manager – Be the focal person
to plan and implement project activities at the area wise/Cluster level
as per the project design and time frame.
- Contribute his/her actions for strengthening of a
project strategy to fulfill the overall project objective and its
quality parameters
- Monitor progress of project objectives and help in
capturing the information/data for feeding the MIS.
- Facilitate the Trainings and
build capacities of different stakeholders at various levels.
- Support the Facilitator-
Mobile Resource center to reach all schools and to make access the
reading materials.
- Facilitate and Involve in all
assessment including Baseline and end line studies,
- Capacity building programs
for key stakeholders as per the project requirements
- Undertake frequent visits and
facilitate meetings with all stakeholders and to undertake activities
with quality as per the specifications given the project design
- Maintain records, MIS and
field documents to support the monthly and quarterly reports
- Coordinate & seek
necessary support from various department officials at the ground to
undertake project activities including screening the students for
scholarships, documentation and coordination with college managements
and SPO.
- Support the Assistant
Manager/Project Coordinator for timely and quality project/donor
reporting as per the time line
- Documentation of best
practices, case studies for sharing with donor and to publish in
internal journals
- Establishing student alumina
for supporting other students in future
- Abide the local office
administrative procedures including the terms of timings, code of
conduct, child safe guarding policy as per the Save the Children’s staff
charter
- Preparation and sharing of
Monthly and Quarterly field reports to State Office with accurate
information for support MIS at state level
- Adhering to all financial
norms and procedures of Save the Children
- Undertake appropriate
additional responsibilities as assigned by the line manager

Process:

- Be the focal person at the
field for implementation of the project day-to-day community activities
as per the project strategic design
- Be the focal for awareness
building, establishment of linkages and building capacities of at
village and cluster level.
- To be able to provide on
ground support to community and leaders as and when required in the best
interests of protecting children and women
- Play a support role to PC in day to day execution of
project activities as per the Save the Children standards.
- Ensure timely submission of internal field reports
(monthly, quarterly, and annual) to the field office as mandated
- Ensure compliance with SC BR’s policies and
practices, including the Child Safeguarding Policy.
- Contribute to create an innovative models and good
practices under the projects
- Create evidence base of the processes, activities, changes and
impact of the project interventions on regular basis in coordination
with Knowledge Management team of Save the Children.
- Quality timely compliance on periodic reporting to the state
office, donor and local government department.
- Support the field visits of Donor or teams from SPO and NSO

Others:

- Coordinate with Assistant
Manager/Project Coordinator for cross sharing, learning and improving
the quality of the project
- Support SC Info/BRISK data
collection and collation as and when required
- Ability to operate and
promote cost-effective approaches to maximize resources for children
- Undertake additional
responsibilities as and when assigned in the best interests of the
children
- Contribute to a positive working
environment.
- Promote the work of Save the Children –
communicating, both internally and externally, in an accurate, sensitive
and motivating fashion
- Understand and be an advocate, internally and
externally, for the values of Save the Children
- Ensure that all activities comply with applicable law
at all times, including compliance with data protection legislation
- Adhering to financial norms and procedures of Save
the Children
- Other ad hoc duties as required in line with your
skills, experience and role
